Guest rooms are being held for Summer Academy Meeting 2013 registrants at the following hotels:

These hotels are offered at discounted meeting rates for those booking through the AAD Housing Office. Hotel reservations must be made in conjunction with registration for the meeting.

Availability cannot be guaranteed for reservations received after the housing deadline of July 8, 2013, at 12 p.m. (CT).

All cancellations must be made in writing. Send a letter of cancellation to:

Before Monday, July 8, 2013, 12 p.m. (CT), a $100 per reservation cancellation fee will be processed to the credit card listed for your guarantee. This fee is applicable regardless of cancellation reason or method.

After Monday, July 8, 2013, 12 p.m. (CT), one (1) night room & current sales tax per reservation will be processed to the credit card listed for your guarantee (see Hotel Reservation Guarantee Policy above). This deposit is non-refundable. 

Starting Friday, July 12, 2013, you may contact the hotel directly for changes and cancellations.

Failure to show on day of anticipated arrival:

Failure to check in on the scheduled date of arrival will result in a “no show fee” of one (1) night’s room & current sales tax and cancellation of the reservation.

Submission Info
  • The submission deadline is 12:00pm Central Time, February 8th, 2013.

  • Abstracts should be no longer than 2,500 characters including spaces.

  • There is a $50.00 (U.S. funds) non-refundable processing fee for each abstract submitted. Credit card payment will be required at the time of submission. Payment may be made via VISA, MasterCard, or American Express.

  • Typed, hand written, incomplete, faxed or late entries cannot be accepted. There will be NO exceptions.

  • International submissions are to use their family name when "last" name is requested. Be sure to include country and city codes whenever telephone or fax numbers are requested.

  • Published material should not be submitted. It is acceptable if material has been submitted for publication but not actually published as of February 8th, 2013.

  • Applicants should not submit abstracts that include material that has already been presented at previous Academy meetings.

  • Applications will be selected for presentation based on the educational value of the abstract and the extent to which it presents new and significant investigative works. The Task Force looks especially favorably on those abstracts that have an organized, coherent, well-thought-out and complete presentation. Briefly stated projects or those that are incomplete at the time of application are less likely to be accepted.

  • Submitters should make every effort to avoid hyperbole in both the title and body of the abstract and poster.

    Examples of potentially exaggerated statements include:

    "Safe and Effective" and "Successful" (unless the study is both sufficiently large in scale and long in duration to justify this language). The Poster Task Force reserves the right to edit or remove any phrases or statements which are not warranted by the data being presented.

  • Absolutely no changes may be made in the abstract after submission. For instance, no change in authors, title, category, content or spelling will be allowed. If a change is required for scientific or academic accuracy, the poster submission should be withdrawn.

  • Avoidance of Commercialism: All poster exhibits must avoid commercialism. No trade names should be used for drugs, devices and/or instrumentation, including lasers. Any medications or other substances referred to in the presentation material must be identified by their scientific names only. In addition, poster exhibits, the cost of which is underwritten to any extent by a pharmaceutical company or other commercial enterprise, should include a clear acknowledgment stating that a portion of its cost was underwritten and identifying the particular commercial company involved.

  • Trade name violations or failure to disclose commercial support will result in below average and unsatisfactory grades
