Submission Info

Important notice: The submitting author is automatically designated as the first author.

  1. You may be the first author of more than one abstract, provided that each abstract represents distinct research. Co-authorship of additional abstracts is permitted.
  2. Only the first author may present the abstract. If special circumstances preclude the first author from presenting, permission for an alternate presenter must be obtained in advance from the Executive Director of AAI (contact meetings@aai.org).
  3. Each abstract must be sponsored or submitted by a member of AAI. Sponsorship will be considered assurance of adherence to the rules stated here and of the merits of the presentation. Sponsors of submitted abstracts should be assured that all authors listed on the abstract have had a significant role in the research being reported. AAI Regular Members in good standing may sponsor more than one abstract including their own submissions. Trainee Members of AAI must have their abstract sponsored by a Regular Member in good standing.
  4. With regard to research using human subjects, AAI endorses the protections embodied in the Basic Principles of the Declaration of Helsinki and their expansion in the regulations governing research supported by the U.S. Government (45 CFR Part 46; 56 FR 28003). AAI does not endorse, nor will they publish the results of research that was not conducted in accordance with these Principles. Investigations involving animals reported in abstracts must have been conducted in conformance with the FASEB Statement of Principles for the use of animals in research and education.
  5. The first author must provide Conflict of Interest Disclosure information for all authors when submitting an abstract.
  6. Authors are not permitted to submit an abstract on work that has been published previously.
  7. While it is rare for an abstract not to be accepted, AAI reserves the right – at its sole discretion – to decline any abstract deemed inappropriate.
  8. In order to qualify for the AAI Member rate, the submitting author must be a member in good standing – membership paid through December 31, 2014. AAI membership is nontransferable. The submitting author is automatically designated as the first author.

Abstract Submission Instructions
  1. Deadline: The deadline for electronic submissions is January 9, 2014, 11:59 PM ET.
  2. Abstract Limit: There are no restrictions on the number of abstracts you may submit or on the number of submissions you may present.
  3. Character Limit: There is a limit of 1,500 characters for the text of your submission. The character count includes spaces. You will be advised of your character count usage in the upper right-hand portion of the screen throughout the submission process as you save and move to the next step.
  4. Title and Body: The title should be entered in sentence-style capitalization. For example, Active learning improves comprehension in large section immunology course at Western University. Do not put your title in quotation marks or use all uppercase letters.
  5. Special Characters and Formatting: You may copy and paste your abstract. Special characters should transfer, but formatting will not transferYou can insert special characters and/or formatting using the Special Characters Palette. To access the palette, click on the "Special Characters" button located on the Title/Body page.
  6. Disclosures: You will be asked to complete a conflict of interest disclosure for each author in order to finalize your submission.
  7. Presentation Type and Topic Category: You will be asked to select the appropriate presentation type (oral and poster or poster only) and abstract topic category for your submission. Space is limited, so we cannot guarantee all oral presentation requests.
  8. Institutions/Affiliations: You will be asked to enter all the institutional affiliations of your authors prior to adding the authors. You do not need to enter institutions in a particular order to be able to designate author affiliations. After entering all institutions, you will proceed to the next step of adding authors and then associating them with the previously entered institutions. Institutional affiliations are limited to 3 per author.
  9. Authors: Enter all authors in the order they should appear in the heading of the abstract.
  10. Abstract Proof: Carefully check the proof of your abstract. Make sure all special characters and formatting display correctly in your proof. If you find errors, to make your corrections, return to the appropriate page by clicking on the page name in the left-hand menu. NOTE: All abstracts will be printed and published as submitted by the author. AAI is not responsible for and will not copy edit abstract submissions.
  11. Completing Your Submission: If you have not completed all required sections and details, you will not be able to submit. When all required information is entered, the "Submit" button will appear at the bottom of the "Proof and Submit" page.
  12. Payment: Submission will not be complete without payment. Once payment is submitted, you will receive an automatic email confirmation of your successful submission.
  13. Notifications: Notifications of abstract programming will be e-mailed at the end of February.

Editing an Existing Abstract

To edit your abstract:

...BEFORE the close of abstract submissions:

  • Log into your abstract submission account.
  • Click the "View Submissions" link on the left-hand menu.
  • Simply return your abstract to draft status.
  • Once abstract is returned to draft status, you can edit it by clicking on the "edit" icon (pencil).
  • Remember to re-submit your abstract once you have completed your edits. You WILL NOT be charged a second time.

...AFTER the close of abstract submissions:

  • Contact the AAI Meetings Office at meetings@aai.org.
  • Provide your control ID number, abstract title, and name of the first author.
  • No edits will be accepted after March 3, 2014.

Withdrawing an Abstract

To withdraw your abstract...

...BEFORE the close of abstract submissions:

  • Log into your abstract submission account
  • Click the "View Submissions" link on the left-hand menu.
  • Simply return your abstract to draft status. Click on the arrow in the "Return to Draft" column.

...AFTER the close of abstract submissions:

  • Contact the AAI Meetings Office at meetings@aai.org.
  • Provide your control ID number, abstract title, and name of the first author.
