Be sure to book your room by Monday, June 30, 2014 to ensure availability and the 2014 AUGS/IUGA group rate.

Alternative Housing Options
If you wish to find an alternate to hotels, such as short-term apartment rentals, we have listed three sites below which allow you to rent directly from the owner. All three sites are widely used in the United States and are considered reputable; however, as with any housing rental, please use caution when reserving accommodation. It is recommended you do not send money via Western Union, MoneyGram or wire transfer.

Group Housing Blocks (20+ rooms)
If you wish to book a large block of hotel rooms (20+ rooms or more) at the hotels, you will need to work directly through AUGS to facilitate this request. AUGS will require a Group Room Contract for these rooms.

Timeline for Group Rooms

Ongoing           Contracts sent to AUGS for review & approval

30 May 2014     Last Day to Release Rooms (up to 20% without penalty)

9 June 2014      Rooming Lists Due to AUGS; any unassigned rooms will be released

Last Day Group Rooms Contracts will be accepted

6 July 2014        Deposits on rooms become non-refundable

The contract must be received by AUGS on or before 9 June 2014 and all room block approvals will be based on availability within the hotel room blocks. A guarantee is required to hold the block in the amount of one night’s room plus current tax (14.5%) for each room booked at your confirmed hotel via check or credit card payable to the hotel.

Cancellation Policy: Should the Group cancel the contracted room block at any point after signature, AUGS-IUGA 2014 reserves the right to hold the Group responsible for the total number of contracted room nights multiplied by the group’s room rates. Cancellation is defined as the total non-use of the contracted room block.

Any changes to a contracted room block and all group cancellations must be received in writing by the AUGS-IUGA 2014 Event Services Manager. Any payment due must be received no later than thirty (30) days after date of invoice.

For additional information about group housing blocks, please contact Andrea Kohanna at andrea@augs.org, or +1 202.367.1138.

Unauthorized Housing Vendors
As an attendee at the AUGS-IUGA Joint Scientific Meeting, you may be contacted by phone or email by outside housing companies to secure hotel reservations for the conference. The intent is to convince you that the offer is made on AUGS or IUGA’s behalf, or that the soliciting company is a viable alternative to going directly to the hotel. These companies are not affiliated or working in partnership with AUGS, and reservations made through these companies for our meeting cannot be guaranteed.

AUGS has contracted directly with the hotels listed on the official website and they are the only official representatives that can guarantee your reservation. Making your reservation in the AUGS room block also enables us to fulfill our contracts with the hotels and helps ensure that AUGS-IUGA Joint Scientific Meeting is a success. Please contact info@augs.org with any questions.

How It Works
This practice (called “room poaching”) is carried out by third-party companies that act as travel agencies, wholesalers or destination management companies to solicit registrants for room reservations. The poacher might inform registrants that the hotel room block is “sold out,” and that if you do not book with them immediately, you may not get a room. Additional deceptive tactics include distributing forms or promotional materials that appear to be issued by AUGS.

Room poachers make it more difficult for us to meet our room block commitments, and expose us to penalties and increased room rates for our events. Room poachers often don’t deliver on promises to customers. When customers arrive, reservations are non-existent or the hotels are not conveniently located. Sometimes the rooms have been cancelled and hefty cancellation fees have been placed on the customer’s credit card.

How You Can Help
Don’t be misled! Book through our personalized reservation websites at the Renaissance Washington DC  and Grand Hyatt Washington. Booking through either of these websites will ensure that you secure the 2014 AUGS-IUGA group rate, allow you to modify or cancel your hotel reservations at any time, as well as provide you with up-to-date event information. Be sure to book your room by Monday, June 30, 2014 to ensure availability and the 2014 AUGS/IUGA group rate.

If you are contacted by anyone asking if you need a room for AUGS-IUGA Joint Scientific Meeting, please get as much information as you can (their name, company name, phone number, etc.) and pass it on to our team. Contact AUGS at +1 202.367.1167 or info@augs.org
